Project Overview

The Background

Qarya is a digital community management platform designed to simplify communication between residents, property managers, and maintenance teams. The platform allows residents to submit complaints, pay maintenance dues, book amenities, receive announcements, and monitor service requests while enabling management teams to automate operations from one centralized dashboard. I led the product design from discovery through usability testing, designing the complete ecosystem across three interconnected platforms.

The Problem

Residential communities were relying on WhatsApp groups, spreadsheets, phone calls, and paper records to manage daily operations. This created several critical problems: residents never knew the status of their complaints, maintenance requests were frequently forgotten, payments were manually tracked in Excel, and management teams wasted over 3 hours daily coordinating tasks across scattered channels.

The Design Process

Discover

Conducted 12 resident interviews, 4 property manager interviews, workflow observation, and competitor analysis to map pain points in daily community management.

Define

Created user personas, customer journey maps, jobs-to-be-done frameworks, and defined opportunity areas to bridge the communication gap between residents and management.

Ideate

Explored multiple navigation concepts, designed three distinct dashboard structures, and validated layouts through card sorting and user flow mapping.

Prototype

Designed high-fidelity screens for the Resident Mobile App, Public Website, and Admin Dashboard, backed by one shared design system to maintain visual and functional consistency.

Test

Executed remote usability testing with 8 residents and 4 property managers testing key tasks like complaint submission, maintenance assignment, payment tracking, and report generation.

Residents had zero visibility after submitting complaints, causing frequent follow-up calls to management.

Challenges Faced

Designing for distinct user needs: residents demanded simplicity, while property managers required high data density.

Managing complex multi-department complaint status flows (Submitted → Assigned → In Progress → Inspection → Completed → Closed) without overwhelming users.

Handling large-scale data tables with thousands of records for admins using smart filtering, search, pagination, and bulk actions.

Design Solutions

Transparent Complaint Tracking — visual status pipeline showing real-time updates from submission to resolution.

Smart Notifications — prioritized alert system for payment due, maintenance assigned, complaint resolved, and emergency notices.

Bulk Admin Actions — bulk assignment, bulk status updates, bulk export, and messaging for rapid admin workflows.

Digital Payments Suite — in-app payment tracking, automated reminders, digital receipts, and downloadable invoices.
